Bookings, attendance, packages and payments are all covered. The one thing a client actually feels — whether they are getting anywhere — lives in a spreadsheet, a camera roll, or an instructor's memory.

  • Attendance is not progress

    A client who attended twenty-four sessions has a number. They still have no idea what changed about them.

  • The data exists, scattered

    Measurements in a sheet, photos on a phone, goals in someone's head. Nothing brings the three together.

  • Renewal without evidence

    When a package ends you are asking for another commitment with nothing concrete to show for the last one.

  • Every instructor tracks differently

    One measures monthly, another never does. Without a studio standard there is no studio story to tell.

    Record what you measured

    Weight, waist, hip, arms, legs, body fat and muscle. Enter whatever you took; a blank field never blocks a save. Photos and goals are optional.

    Choose and preview

    Pick a reporting period and the comparison is assembled for you. You decide which measurements and which photos make it into the report.

    Send it under your name

    An A4 PDF with your logo, your palette and your contact details. Nothing on it points back to us.

This is what your client receives.

What goes into the report

  • Measurement tracking

    Eleven fields, recorded on any date. Each metric compares against its own last valid value, so a month you skipped never breaks the chain.

  • Progress photos

    Front, side, back and regional categories. Dates are always visible and the aspect ratio is never altered.

  • Goals

    Numeric goals calculate progress on their own. Posture, balance and flexibility goals need no numbers at all.

  • Instructor assessment

    Six categories on a 1–5 scale plus a written note. It sits in its own section, clearly separated from objective measurements, and is never presented as a health assessment.

  • White-label output

    Your palette, your logo, your contact details. Our name appears nowhere in the report.

  • Report history and versions

    Regenerating a period creates a new version rather than overwriting. What you sent stays exactly as you sent it.

The report is yours. Our name is nowhere on it.

When your client opens the PDF they see your logo, your studio name and the colour you chose. No “powered by” line, no logo of ours, no promotion of us. To the client it is simply something your studio produces.

Frequently asked questions

Does it replace my booking system?

No. TrackPil does progress tracking and reporting only. If you run Mindbody, Momence, Arketa or similar, it runs alongside them rather than replacing them.

Do clients need an account?

No. There is no client login and no client app. The client receives a PDF report, and you are the one who sends it.

Does every instructor need their own password?

No. The studio has a single password. On a shared device an instructor selects their profile and their entries are attributed to them. Critical actions such as permanent deletion ask for the studio password again.

Do I have to fill in every measurement field?

No. A single field is enough to produce a report. Fields you skip disappear from the report entirely; the client never sees an empty box or a missing-data warning.

Are progress photos required?

No. Reports work without them. When you do include photos, dates are always shown and the aspect ratio is preserved.

What will you show your client at the end of a term?
